Set your availability, out-of-office and coverage

Your availability status tells colleagues whether you are working, and it is what they check before assuming a request in your name is being looked at.

How to set your availability

  1. Click your name at the bottom of the sidebar.

  2. Choose an availability status.

  3. To set cover for a period away, set your out-of-office window and who is covering.

Your status shows beside your name and against your name elsewhere in the product.

Why it matters more here than in a chat tool

A request has a statutory deadline attached to it. An unavailable owner is not a social nicety, it is a request that may be running down its clock with nobody watching.

Before any planned absence, do two things. Set your status, and reassign anything with a live deadline. Setting the status alone does not move the work.

Availability statuses are configured by your agency

The statuses available to you are set in Settings under User Shifts and Statuses, so yours may differ from another agency's. What they mean is a matter of your office's convention rather than something the product enforces.

What availability does not do

It does not reassign your requests, hold your deadlines, or stop work being assigned to you. The clock does not care that you are away.

It also does not change which events email you. That is set for the whole agency rather than per person, and is covered in Manage automated email notifications.

Coverage is a handover you perform, not a state you declare.
