Get started as an agency administrator

Administrators configure the agency: the statuses requests move through, the roles people hold, the deadlines work is measured against, and the templates used to write to requesters. This article is the orientation. The individual screens have their own articles.

How to reach Settings

Sign in as an administrator and land on Settings, panning the seven groups once.

  1. Go to Settings in the sidebar. It appears only for roles holding the Admin Settings permission.

  2. The seven groups run down the left.

  3. Open any group to see its screens.

Screens marked SOON are not yet available.

Changes are immediate and agency-wide

There is no Save button and no draft state. Each change is written when you make it and takes effect for everyone at once.

Treat every change as live, because it is. There is no staging area, and no way to try a configuration on one person first.

Set these first

In rough order of how much everything else depends on them:

  1. Business Hours. Working hours, holidays and time zone. Deadlines are counted against these, so get them right before anything that uses them.

  2. SLA Policies. The response and resolution windows your agency is measured against.

  3. Statuses. The lifecycle your requests move through, and which moves are allowed.

  4. Users, Teams and Roles. Who gets in, and what they can reach.

  5. Request Form. The fields the public fills in.

  6. Email Templates and Canned Responses. The wording your office reuses.

  7. Redaction Rules. What Govflo detects, and what needs sign-off before release.

The safeguard

At least one role must always keep the ability to manage settings. Govflo refuses a change that would leave nobody able to administer the agency, because the first such change would lock everyone out permanently with no way back in.

Grant the role sparingly

Because changes take effect immediately across the whole agency, administrator is not a convenience. Give people the member role unless they genuinely need to change how the office operates.
