Reviewing AI redaction proposals

Govflo reads each document and proposes what should be withheld before anyone opens it. The proposals are a starting point for your review, never a decision. Nothing is withheld or released on the strength of a proposal alone.

How to review proposals on a document

  1. Open the request and go to Case/Media, or open the document from Document Workspace.
  2. Open a document carrying a PII or Privileged flag.
  3. Work through the proposed items one at a time. Each shows what was detected and why.
  4. Accept the ones that are correct.
  5. Reject the ones that are not. A rejected proposal is recorded as rejected rather than quietly dropped.
  6. Add anything the detection missed. Your own additions carry the same weight as a proposal you accepted.

What gets detected

Detection covers names, email addresses, telephone numbers, dates, and identifiers such as social security numbers. It runs on digital documents and on scans, and it treats an email thread as a single document rather than as forty separate ones.

Why you still read the document

Detection finds patterns. It does not know your statute, it does not know which of two people named in a message is a public official acting in their role, and it cannot tell you whether an exemption applies. That judgment is yours, and the record shows it was yours.

The reverse also matters. A document with no proposals on it has not been cleared for release. It means nothing matched a pattern, which is not the same as nothing needing to be withheld.

What happens to your decisions

Every accept and every reject is written to the request's history with your name and the time. If the handling of a document is questioned later, the record shows what was proposed, what you did with it, and when.
